What each part means

Payable days

Record both the numerator and denominator used by payroll. In this example they are 20 and 30. If your company uses scheduled working days or a fixed divisional basis, replace both values and explain that basis rather than retaining the calendar-day sentence.

Full month structure

Keep the original basic, HRA and allowance schedule so the employee can compare the first payment with the agreed monthly pay. The reduced figures belong in the earnings block; the unreduced structure is a reference for the calculation.

Deductions and payment

Enter the PF and other deductions approved for this specific first payroll. Record the real payment date and reference after the transfer is confirmed. A prepared salary slip and a completed bank payment are separate records.

Employee joining during a payroll month

A new joiner can receive a smaller first payment even when the agreed monthly salary is unchanged. This format makes the joining date and the payroll proration basis visible beside the pay period. It suits an employee who begins after the first day of a month and needs to understand the first salary transfer. It does not assume that every employer uses calendar days for proration.

How the filled example works

Asha joins on 11 September in a 30-day demonstration month. The approved example uses 20 payable days, so INR 24,000 basic becomes INR 16,000; INR 9,000 HRA becomes INR 6,000; and INR 3,000 other allowance becomes INR 2,000. Earnings total INR 24,000. The two entered deductions total INR 2,000, leaving INR 22,000. These deduction figures are entered payroll values and are not derived from the fraction of days.

Prepare the supporting record

Gather the joining record, salary annexure and payroll cutoff policy before replacing the sample figures. Ask whether the first salary is paid in the joining month or carried into the next payroll. Confirm how the employer treats weekends, paid holidays, attendance before onboarding was completed and any joining advance. A calendar date alone does not establish the number of payable days used in an actual payroll calculation.

Resolve this scenario before issuing

Check that the full-month salary and the first-month earnings have different labels. A frequent error is to multiply the already reduced earnings by the payable-day fraction again. Another is to reduce every deduction automatically, even when payroll has supplied a different amount. Keep any joining bonus or recovered advance as its own line so the employee can reconcile the final bank transfer.

Payroll record boundaries

Treat each salary period as a separate payroll record. Start with approved attendance and the salary structure, record earnings that belong to the period, and subtract the actual deductions confirmed by payroll. Employer contributions and annual CTC do not automatically belong in cash earnings. Keep reimbursements separately identifiable when they are included in the same bank transfer. The completed slip should explain the transfer amount without suggesting that a sample confirms employment.

Questions about this format

Does this format use working days or calendar days?

The fictional example uses 20 calendar days out of 30 because that basis is written into the sample. Your employer may use a different approved method. Replace the basis and the figures together so the document accurately describes the payroll calculation.

Can I use it for a joiner paid next month?

Yes, but identify the actual earning period and the month in which payroll pays it. If the first payment covers two periods, separate the periods and their amounts instead of describing the combined transfer as one ordinary full-month salary.

Check before you use it

Use payroll-approved figures and an authorised employer signatory. These fictional figures illustrate the layout; statutory deductions, eligibility and payment evidence require separate checking.

  2. Check dates, amounts, identifiers and the intended recipient’s requirements.
