What each part means

Assessment period

State which quarter or period generated the payment and when payroll released it. Here the April-to-June assessment is paid during September, so the two periods must not be silently collapsed into one label.

Payment label

Use the employer-approved description of the incentive. This demonstration does not calculate statutory bonus or assert that a performance payment meets any particular legal classification.

Recurring salary

Retain the INR 40,000 regular salary subtotal separately. A one-time INR 12,000 payment changes this payroll’s gross amount; the next month needs its own approved earnings record.

Monthly pay including an approved quarterly incentive

A quarterly incentive can raise one month’s salary transfer without changing the employee’s regular monthly structure. This sample gives the performance period, approval reference and paid incentive its own earnings line. It suits an employer-approved performance payment, not a calculation of any statutory bonus entitlement. Naming the assessment period helps a reader distinguish a payment released in September from performance measured during April to June.

How the filled example works

Pooja receives INR 40,000 of regular monthly earnings plus an approved INR 12,000 quarterly performance incentive. The gross payroll total is INR 52,000. Entered PF and other deductions total INR 5,000, producing INR 47,000 net pay. The sample says that this is one approved payment so the higher transfer is not automatically presented as a future monthly guarantee.

Prepare the supporting record

Prepare the incentive approval and the applicable scheme document before entering the amount. Check whether the payment has conditions such as the assessment period, eligibility date or prior advances. The employer’s approved statement should identify the released amount. Avoid adding store customer details or confidential performance rankings to the payslip; a traceable approval reference can support the figure without overloading the employee’s salary record.

Resolve this scenario before issuing

Clarify the payment label with payroll. A contractual incentive, discretionary performance payment and statutory bonus can require different supporting review, so do not switch those labels merely because a search query says bonus. If only part of the approved amount is released this month, identify the paid portion and track the remaining balance outside the ordinary salary subtotal.

How to edit and share the document

Use Word to adjust the incentive label to the employer’s actual scheme and add the assessed quarter. The Excel worksheet is a field record rather than an eligibility or tax calculator. Replace both the regular earnings and the approved incentive where necessary, then check their addition separately from the deduction total. Keep the approval record so the same quarter is not accidentally paid again in the next payroll.

Payroll record boundaries

Treat each salary period as a separate payroll record. Start with approved attendance and the salary structure, record earnings that belong to the period, and subtract the actual deductions confirmed by payroll. Employer contributions and annual CTC do not automatically belong in cash earnings. Keep reimbursements separately identifiable when they are included in the same bank transfer. The completed slip should explain the transfer amount without suggesting that a sample confirms employment.
