Excel download is an editable text worksheet, not an automatic payroll or tax calculator. What each part means
Covered dates
Write both the first and last rent dates and clarify the agreed inclusive period. Match the period to the actual tenancy or written first-month arrangement rather than to the bank-transfer date alone.
Agreed basis
Identify the accepted calculation or fixed amount. In the fictional case INR 18,000 is the monthly reference and INR 9,000 is the actual partial rent; they should not be exchanged in the received-amount field.
Move-in payments
Keep any deposit, utility setup charge or other move-in amount separately identifiable. A combined transfer can still require separate labelled allocations so the monthly-rent record is not overstated.
Rent paid for an agreed move-in period shorter than a month
A tenant moving in halfway through a month may agree a partial rent amount rather than pay the ordinary monthly figure. This receipt makes the shorter occupancy period and the agreed calculation basis explicit. It is suitable when the landlord actually received rent for the listed dates. The example’s calendar-day method is an agreed demonstration basis, not a rule that every rental arrangement must follow.
How the filled example works
Omar moves in on 16 September and the sample covers 16–30 September, inclusive. Fifteen days out of a 30-day demonstration month is half of the INR 18,000 reference monthly rent, so the acknowledged partial rent is INR 9,000. The deposit is outside this receipt. The zero balance relates only to the stated partial period, not to every future month of the tenancy.
Prepare the supporting record
Prepare the tenancy start date, agreed handover date and written partial-month arrangement before editing. Confirm whether rent starts on handover, occupancy or another agreed date. A landlord may agree a fixed first payment instead of a day fraction, and a contract may use a different divisor. Describe the actual agreed method accurately and keep the supporting communication available if the recipient asks for it.
Resolve this scenario before issuing
Check the day count and period boundaries. Including 16 September through 30 September creates fifteen dates; using a simple subtraction without considering inclusion can produce fourteen. Also avoid using a 31-day divisor while copying this 30-day sample’s amount. If utilities or a deposit were collected at move-in, acknowledge them separately so the receipt’s rent amount remains traceable.
How to edit and share the document
Word makes the start and end dates easy to change, and Excel provides an editable worksheet for the reference rent and agreed partial amount. Neither download establishes the rental calculation method for your tenancy. After editing, reproduce the agreed arithmetic independently and replace the payment reference. Ask the landlord to confirm the amount actually received and review the completed PDF for any unchanged demonstration dates.
What a payment receipt establishes
Use a receipt after confirming the payment. Its strongest details are the parties, the complete rented-property address, the period covered, the amount received, the receipt date and a traceable payment reference. Keep refundable deposits, utility reimbursements and overdue balances identifiable. Ask the intended recipient which supporting documents it needs. This template does not decide tax relief or replace the rental agreement, landlord confirmation or payment evidence.
Review this scenario
- Confirm the actual rent start and covered end dates.
- Check inclusive day counting if used in the agreement.
- Use the accepted divisor or agreed fixed payment.
- Acknowledge only the partial rent actually received.
- Separate deposit and other move-in amounts.
- Remove unchanged sample dates before landlord confirmation.
Questions about this format
Is rent always prorated by calendar days?
No. This sample uses an expressly agreed 15-of-30-day method. The actual tenancy can use a different arrangement. Enter the method and amount confirmed between the landlord and tenant instead of treating the example as a universal rental rule.
Can the same layout be used for moving out?
Yes, if it accurately describes an agreed final rental period and actual payment. Replace the move-in label with the correct situation, confirm the end date and keep deposits or refunds separate from rent acknowledged for that period.
Check before you use it
A rent receipt records money actually received. Obtain landlord confirmation; a draft, an advance schedule and a refundable-deposit acknowledgement have different purposes.
- Replace every sample or bracketed field with accurate information.
- Check dates, amounts, identifiers and the intended recipient’s requirements.
- Open the exported file and obtain any required employer, landlord or legal approval.
