Excel download is an editable text worksheet, not an automatic payroll or tax calculator. What each part means
Actual receipt date
Use the date funds were actually received. The covered earlier months belong in the allocation schedule, which keeps the timing of the transfer and the purpose of the payment separately understandable.
Old balances
Check each period against earlier payments and receipts. In the example both months owed the full INR 12,000, but a real partial payment can reduce one month’s allocation and change the remaining balance.
Current rent
State whether the current month is included or excluded. The fictional September payment clears July and August only; claiming it also settles September would count the same money toward an additional period.
A late payment settling identified earlier rent months
A late rent transfer can settle earlier months rather than the month in which the bank payment occurs. This format records the actual receipt date and allocates the money to the specific rent balances being settled. It is useful when the landlord acknowledges overdue rent in one payment. The receipt should preserve the late payment’s real timing rather than being backdated to make the money appear received earlier.
How the filled example works
Nisha pays INR 24,000 on 10 September in the fictional case. INR 12,000 is allocated to July and INR 12,000 to August, clearing those two identified balances. September rent is explicitly outside this acknowledgement. No late fee is included, so the total can be reproduced from the two rent allocations. The sample does not suggest that the current month has been paid merely because the payment date falls in September.
Prepare the supporting record
Review the rent ledger or earlier confirmed receipts before drafting. Identify each outstanding month and any partial payment already credited. Ask both parties to confirm how the incoming payment is allocated, particularly if more than two periods are overdue. A ledger balance and a bank transfer are different records; the receipt should connect them without inventing a new rent period or overlooking an earlier payment.
Resolve this scenario before issuing
Keep late fees, interest or other charges separate if they are actually agreed and received. Do not add a fee simply because the rent was late. If the transfer only partially settles the old balances, show the acknowledged amount and the remaining rent clearly. Correct an allocation through a landlord-confirmed adjustment rather than issuing inconsistent receipts with the same payment reference and different covered months.
How to edit and share the document
Use Word when the payment needs a longer allocation schedule and Excel when you want editable field values for the listed months. The worksheet does not maintain a live rent ledger or automatically calculate balances. Add the allocations independently and compare their sum with the actual transfer. Review the final PDF, retain the real receipt date and obtain the landlord’s confirmation that the stated old periods were settled.
What a payment receipt establishes
Use a receipt after confirming the payment. Its strongest details are the parties, the complete rented-property address, the period covered, the amount received, the receipt date and a traceable payment reference. Keep refundable deposits, utility reimbursements and overdue balances identifiable. Ask the intended recipient which supporting documents it needs. This template does not decide tax relief or replace the rental agreement, landlord confirmation or payment evidence.
Review this scenario
- Compare earlier receipts and the outstanding rent record.
- Keep the actual September receipt date.
- Confirm allocation to the named overdue months.
- Exclude the current month unless actually paid.
- Separate any agreed late fees from rent.
- Check remaining balances and obtain landlord confirmation.
Questions about this format
Should the receipt be dated July or August?
The receipt date should reflect when money was actually received. Identify July and August as the rent periods settled by the September transfer. Backdating the payment would misdescribe the chronology of the acknowledged event.
Can one transfer settle part of several months?
Yes, if the allocation is agreed and accurately recorded. List each period and the amount credited, then show the remaining balances. The sum of credited amounts must match the money actually received in the acknowledged transfer.
Check before you use it
A rent receipt records money actually received. Obtain landlord confirmation; a draft, an advance schedule and a refundable-deposit acknowledgement have different purposes.
- Replace every sample or bracketed field with accurate information.
- Check dates, amounts, identifiers and the intended recipient’s requirements.
- Open the exported file and obtain any required employer, landlord or legal approval.
