What each part means
Rotation and overnight dates
Show how an overnight shift crosses into the next day and explain how the rota is communicated. Duty windows alone do not establish the complete approved work, break and rest arrangement.
Salary and hospitality benefits
Separate fixed salary from service charge, tips, meals, accommodation and allowances. Include only actually approved provisions, and identify whether each is cash, an in-kind arrangement or conditional distribution.
Guest and cash procedures
State role duties alongside limits on refunds, rate overrides and cash settlement. Use approved hotel procedures for guest information rather than implying the receptionist can share records or authorise any adjustment.
Explain rotational work with dates that a candidate can follow
A front desk may use morning, afternoon and overnight cover, but simply writing rotational shifts leaves major questions unanswered. This sample lists illustrative duty windows and explicitly says the overnight window ends on the following day. The full approved schedule must explain actual working days, breaks, rest and rotation. Confirm how and when the employee receives the rota and who handles a proposed swap. Avoid suggesting unlimited availability or treating three example windows as sufficient evidence that any consecutive combination is acceptable for the real employment arrangement.
Distinguish gross salary from variable hospitality extras
The fictional monthly gross fixed salary is INR 24,500. Its twelve-month equivalent is INR 294,000, assuming twelve full months at the same rate. The sample deliberately does not promise service-charge distributions, tips, meals or accommodation. These can differ considerably between employers and roles. If an approved benefit is offered, describe what it provides, any eligibility condition and whether it is a cash payment or an in-kind arrangement. Do not combine an estimated tip amount with fixed salary or represent a shared service-charge distribution as guaranteed take-home pay.
Make guest-service duties and financial limits clear
Reception duties connect guest arrivals, departures, requests and room-status information. A useful offer describes those responsibilities while recognising that operating procedures supply the details. The receptionist should know who can approve a refund, change a room rate or settle a cash exception. The title itself does not grant unrestricted financial authority. Guest information should be processed through the hotel’s approved systems and access rules. If the role also includes reservations, night audit or concierge work, add those actual responsibilities and verify that any training and reporting arrangements cover them.
Provide induction details before the first rotating assignment
The example joining-day reporting time is 10:00, which is different from all three listed operational windows. That allows the candidate to attend induction and receive the initial rota instead of guessing which shift starts employment. Confirm the staff entrance, named manager and any documents needed for access. Insert approved uniform and meal arrangements or remove the unused placeholders. If transport is offered for a particular shift, record the real eligibility and booking process separately. A candidate should not infer a hotel-wide transport promise from an overnight working example.
Review the offer beside the front-office procedures
Edit the Word file with the actual hotel operator’s legal name, property, pay and joining instructions. Attach the employer-reviewed employment schedule and any approved benefits summary. Check the document against the first rota and relevant operating procedures so the reporting line and financial limits agree. In the PDF, inspect overnight times and the phrase following day for readability on a phone. Retain the signed offer with the initial induction record. Any later permanent change to pay, location or employment terms should use a documented review rather than a routine rota note.
Review this scenario
- Name the legal employer, hotel property and actual front-office manager.
- Explain the overnight end date and provide the reviewed rota arrangements.
- Keep fixed salary separate from tips, service charge and in-kind benefits.
- Confirm refund, rate-override and cash-settlement authority through approved procedures.
- Check the joining-day entrance, reporting time, induction and uniform details.
- Attach reviewed terms and ensure the accepted version matches the initial rota.
Questions about this format
Should expected tips be added to the quoted fixed salary?
Keep them separate. This fictional offer promises no tip amount, and estimated guest tips should not be presented as employer-guaranteed fixed salary. If the employer has an approved distribution arrangement, describe it accurately in its own section and distinguish conditional receipts from the monthly gross salary.
Does the overnight example permit back-to-back shifts?
The example makes no such conclusion. It provides duty windows and calls for the employer-reviewed schedule covering actual working days, breaks, rest and rotation. Review any consecutive assignments through that process. An eight-hour clock window alone cannot establish that a particular rotation is appropriate or permitted.
Check before you use it
The example hotel, people and amounts are fictional. Review the actual rota and employment conditions before use. This letter does not establish legal working-time limits, guarantee tips or service charge, or replace hotel operating procedures.
- Replace every sample or bracketed field with accurate information.
- Check dates, amounts, identifiers and the intended recipient’s requirements.
- Open the exported file and obtain any required employer, landlord or legal approval.
