What each part means

Milestone scope

Name the accepted stage and its supporting reference. The demonstration covers design stage 2; a final-delivery or whole-project sentence would misdescribe the scope of the current invoice.

Previous billing

List the relevant earlier invoice without adding its amount again to the current stage. Check the project ledger and actual customer payments so the same stage or advance is not duplicated.

Amount and timing review

Determine the current taxable value, tax treatment, invoice timing and any payment adjustment from the real contract and applicable rules. A commercial milestone label does not independently settle those questions.

Approved project stage billed with earlier invoices identified

A milestone invoice bills an identified project stage and should not make a part-completed project look fully delivered. This format links the stage, acceptance record and current fee while keeping earlier invoices separately referenced. It is useful when the commercial agreement actually permits milestone billing. The layout does not determine GST invoicing timing, time of supply or the treatment of an advance; those require review of the actual contract and transaction.

How the filled example works

The fictional second design stage is accepted on 28 September and billed for INR 50,000 before the entered example tax. Illustrative CGST and SGST amounts are INR 4,500 each, making the current invoice INR 59,000. An earlier stage has a separate invoice reference and is not billed again. No advance adjustment is entered in this example, and the invoice expressly does not acknowledge final project completion.

Prepare the supporting record

Collect the agreed milestone schedule, acceptance record and previous billing history. Confirm whether the current stage is a fixed fee, a percentage of the total contract or work measured another way. Match the acceptance to the stage named in the invoice. If the customer has accepted design but not implementation, avoid broad descriptions such as complete project delivery that would overstate the work being invoiced.

Resolve this scenario before issuing

Review any advance, retention or earlier partial invoice before setting the payable amount. An advance can have its own documentation and tax treatment, so it should not be subtracted casually from the taxable value because it reduces the outstanding commercial balance. Keep the actual reviewed tax calculation and payment adjustment distinguishable. Confirm classification, place of supply and required invoice timing with the relevant official guidance.

How to edit and share the document

Use Word to add a concise acceptance reference and a stage description. Excel provides entered fields for the current bill and previous invoice reference; it is not a project ledger or a tax-timing engine. Compare the current amount with the milestone schedule, review any payment adjustment separately and check the tax total. Open the PDF and verify that its wording acknowledges only the actual current stage before issuance.

Invoice identity and tax review

A GST invoice requires more than a correct total. Review supplier and customer identity, the invoice date and financial-year number, the supply description, HSN or SAC, quantity where relevant, taxable value, tax rate and tax amount. State identifiers and shipping addresses help explain the transaction, but they do not independently determine its tax treatment. All GSTINs remain placeholders in these examples. Use the applicable official rules and your actual transaction records when preparing an issued invoice.

Can I subtract a customer advance from taxable value?

Do not assume that a payment adjustment and taxable value are the same calculation. Review the actual advance documentation and tax treatment, then describe the approved invoice and outstanding payment position consistently.
