What each part means

Responsibility verbs

Choose prepared, assisted, reviewed or approved according to the real job record. Those words establish different levels of authority, so a broad managed finances phrase can misdescribe an accounts assistant role.

Credentials

Add a professional title or qualification only from verified evidence and appropriate approval. Working with invoices and reconciliations does not by itself establish audit authority or tax-practice eligibility.

Confidential records

Keep bank details, client identities and financial results outside a routine employment letter. A factual duty description and an authorised verification contact can explain the role without revealing confidential finance documents.

Recorded accounting support duties without unverified professional credentials

An accounting support letter should distinguish preparation work from financial approval or professional authority. This sample confirms an accounts assistant role with specific operational duties and a review boundary. It is useful when an employer wants to describe invoice entry, reconciliation support and document organisation accurately. It should not imply that the employee signed accounts, performed statutory audits or held a professional credential unless those claims are separately verified.

How the filled example works

Sameer’s fictional role runs from 8 January 2024 to 12 September 2026 in Finance Operations. The duties include approved-invoice entry, reconciliation worksheets, payment-support records and draft ageing schedules. The sample expressly keeps payment authorisation and final statements with designated representatives. This makes the scope understandable to a recipient without inflating a support role into a finance manager or independent professional engagement.

Prepare the supporting record

Check the HR record, designation changes and actual finance duties with the manager. Confirm whether the person prepared, reviewed or approved each document type, because those verbs communicate different responsibility levels. If software knowledge is requested, identify only systems the employee genuinely used and that the employer can confirm. Client names, bank account details and confidential financial results should not be added to a general employment confirmation.

Resolve this scenario before issuing

Resolve any request to add CA, auditor, tax consultant or another professional designation. A finance department job does not establish a credential. Keep professional membership or qualification evidence separately verified and avoid claims of statutory filing responsibility unless the employer record supports that scope. Likewise, a draft worksheet should not be described as an approved final report simply because it was part of the employee’s workflow.

How to edit and share the document

Use the Word file to adapt the actual duties and submit the draft for HR and finance review. The filled PDF is a fictional layout reference rather than an authenticated employer letter. No Excel download is supplied because the output is a narrative confirmation, not an accounts worksheet. Review dates, job title, responsibility verbs and verification details before the authorised representative issues the final letter.

What an employer confirmation establishes

An experience letter confirms an actual employment record. Match the employee name, designation, department and start and end dates to HR records. Describe duties the person actually performed, then identify the authorised issuer and a suitable verification contact. Do not manufacture performance scores, licences, qualifications or achievements. The sample can help structure a request to HR; filling it yourself does not make it an employer-issued certificate.

Review this scenario

  • Check designation and exact employment period.
  • Confirm duty scope with the finance manager.
  • Use accurate preparation and approval verbs.
  • Verify any professional credential separately.
  • Remove confidential client and bank information.
  • Obtain authorised HR or finance review and signature.

Questions about this format

Can I describe the employee as an accountant?

Use the actual recorded designation and responsibilities. If the employer’s title was Accounts Assistant, preserve that title unless the record supports another dated role. Avoid implying professional qualifications or authority from a convenient wording change.

Should salary be included in an experience letter?

Include it only if the authorised employer and intended recipient require it and the amount is supported by records. A general experience letter can confirm role and dates without salary; a separate salary confirmation may be more appropriate.

Check before you use it

This fictional sample is for drafting. Only an authorised employer representative should issue an employment confirmation from verified records.

  1. Replace every sample or bracketed field with accurate information.
  2. Check dates, amounts, identifiers and the intended recipient’s requirements.
  3. Open the exported file and obtain any required employer, landlord or legal approval.

Questions about this download

Can I edit it in Word?

Yes. DOCX contains editable text. Customized PDF exports preserve the layout as page images; direct English sample PDFs contain searchable text. Neither is a digitally signed document.

Is my entered information uploaded?
